Flexmls is Here!

Flexmls is fully-functional as RCAR’s only MLS System. Navica will remain “Read-Only.” Your Navica access will remain active until 05/31/2023 to give you time to get any data you need from the old system. RCAR Staff will be standing by to answer questions and provide support for the new system.

Here’s how to log in:

  • Go to rc.flexmls.com
  • Enter your username and password:
    • Your username will be rc. + the first letter of your first name, followed by your last name, as registered with RCAR.
      • For example, John Doe’s username would be rc.jdoe
      • Some users who share first initials and last names will have different usernames.
        • An example of this would be John Doe and Jane Doe.
        • For these users, you will receive a separate email with your Flexmls login credentials.
    • ALL passwords are set to a default: rcnow
      • Once you log in, you will be immediately prompted to change your password to a custom setting.
    • Usernames and passwords are case sensitive and all lowercase.

MLS Transition FAQ – Updated With Helpful Tips As Needed

  • Here’s how to input comp-only sold listings into Flexmls. Click here: RC Comp Listing Steps
  • We have successfully diagnosed all known portal and syndication issues. Listings in RCAR’s Flexmls directly feed to over 130 other websites and programs, plus any that are exclusively offered by brokerages or other websites. You can see our complete vendor feed list by clicking HERE. If you don’t see your vendor, they could be under a name you are less familiar with. Feel free to reach out to RCAR staff and let us do a status check if your feed isn’t up and running.
  • How to enter a search and exclude a field:
    • When you are in the Flexmls quick search, all of the fields that you have checked will say ____ of ____. Simply click on the word ‘of’ and it will change to ‘not of.’ This will give you the option to search everything except what does not meet the criteria selected. Click ‘not of’ again to revert back.

  • Statistical Reporting: Looking up agent market share reports
    • Did you  know that you can still look up your agent ranking and statistical production compared to other agents in our MLS? Go to the Menu, search ‘statistics’ or scroll to statistics, then select ‘Inventory & Production.’ Once there, you can choose from a few different reports, but ‘Saturation Analysis’ will give you the agent ranking report. You can then select ‘market share’ and enter your specific search parameters to view the report.
  • Listing Activity: Is my listing getting traffic online?
    • On any of your listings, you can choose the drop down icon next to the MLS number as if you are going to edit the listing. Instead, choose ‘listing activity’ and select a desired date range. From there, you will get data on how many people are viewing said listing and tons of other information that a seller may be interested in seeing.
  • REALTORS® Property Resource (RPR):
    • Agents are reporting that some functions and listings within the RPR system are not functioning properly. MLS staff is aware of this issue and is working with RPR to fix the data feed coming from our MLS to their system. RPR has indicated that they need a bit more time to finalize the feed on their end. We appreciate your patience as we work through this change. (Updated 05/24/23)
  • Correctly Entering Addresses: With our old system, users got used to typing out the full address in one line. With Flexmls, we’ve separated those fields. Below is a snippet of the MLS entry fiends for a residential property. We will reference these with the input instructions listed below:

    • Street Number: This field is for the number only. For 2070 Candies Lane NW, you would only put ‘2070’ in this field.
    • Street Direction Prefix: This field is for any roads that have a directional indicator listed BEFORE the road name. Examples include: N Lee Highway, S Ocoee Street. For these, you would only need to put the ‘S’ or ‘N’ in this field.
    • Street Name: This is for the name of the road, excluding suffixes. Using 2070 Candies Lane NW as the example, you would only put the word ‘Candies’ in the Street Name field.
    • Street Suffix: This is for the road type: “Street, Lane, Boulevard, Road, etc.” You do not put this in the Street Name field. For the 2070 Candies Lane NW example, only the word ‘Lane’ would go in this field.
    • Street Direction Suffix: This is for any roads that have a directional indicator listed AFTER the road name. For the 2070 Candies Lane NW example, only put ‘NW’ in this field.
      • When the street direction suffix is present, you can leave the street direction prefix blank. This works the same in reverse. For some properties, neither will apply. That is why they are not required fields.
    • Below is the correct entry for 2070 Candies Lane NW

    • Next, look at the incorrect entry:

      • If we were to enter the listing this way, its address would read: “2070 NW Candies Lane NW Lane NW”
    • County Road Address Listings: These are handled just a little bit differently. Let’s use 123 County Road 456 as our example. For this property:
      • Street Number: 123
      • Street Direction Prefix: Leave Blank
      • Street Name: County Road 456
      • Street Suffix: Leave Blank
      • Street Direction Suffix: Leave Blank
    • We understand that some addresses may not fit the format perfectly, as it is only designed to fit most. If you have an address in question, feel free to contact RCMLS for clarification. On May 2022, 2023, MLS staff went through the MLS to find any errors in entry and correct them. Be sure to check your listings in case we missed one. Getting the entry as accurate as possible helps to ensure that listings received on IDX feeds are correctly mapped with the most reliable information.
  • Many of you may be familiar with the Flexmls system that other associations use. We are excited to bring you that same familiarity with our system.
  • Please keep in mind that some changes are still being made as River Counties staff and the Flexmls team work to improve the system. If you experience any difficulties, you may direct your feedback to mls@rivercounties.com.
  • If you have multiple accounts with Flexmls and you want to bring both systems up side-by-side, you will need to use different browsers.
  • Even though it’s Flexmls, some things will be different from other MLS’s within our system. Our priorities throughout the conversion have been:
    • First, to align ourselves with the requirements set forth by the Real Estate Standards Organization (RESO)
    • Next, to make interactivity between associations work better than ever.
    • If you notice a difference in systems, it is likely because we decided to align ourselves more closely with the RESO standard. Most MLS systems out there have identified this as a goal, but ours will be a fresh transition since we are going through all data with a new system.
  • What converted from the Navica platform to the Flexmls platform?
    • Listings – All MLS numbers will remain the same.
    • Contacts
  • What did not convert from Navica to the Flexmls platform?
    • Incomplete (Partial) Listings
    • Saved searches
    • CMA’s
    • Portals
    • Any custom templates made by users. (email templates, search templates, custom dashboards, etc.)
    • Subscriptions / Auto emails
    • Profile photos
    • This configuration gives every user the opportunity to start with a “clean slate” and build the MLS experience to be even better than before.
  • Will MLS numbers change?
    • No
  • Will third party integrations still be available in Flexmls?
    • Examples of third party integrations:
      • CRS
      • TransactionDesk
      • RPR
  • System Improvements: Not much is final in MLS world. While we have done lots of work to get on the new platform, we are continuing to make changes that make more sense to members and offer familiarity. See the updates below:
    • Field Review: Our MLS Conversion Group and Board of Directors is going through fields to determine if any should be changed, made required, not required, etc. Keep in mind that more required fields means better data for REALTORS® and Appraisers running comps.
    • Cities, Zip Codes, and Subdivisions: We occasionally see cities, zip codes, and subdivisions that were missed in our initial review. If you spot one, let us know and we will quickly add it.
    • Options for certain fields: The market continues to change and conversion is a great time to look through the fields we have and see if they need updating.
    • All feedback is being recorded: All suggestions for change and improvement are being recorded by staff. We may have a reason that we can’t make some requested changes, but we are collecting it all to review and improve upon what we already have. At the end of the day, this is your system to use for your livelihood and we want you to love it.
    • Listing Detail Reports: We are currently working on making our listing details reports more visually appealing and easier to read. For conversion, we used the basica template provided by Flexmls. Now we are closing in on having our custom reports ready to go for you and your clients.
